Integrated a native video panel into the editor to streamline synchronous collaboration.

PROBLEM

The legacy editor relied on external video conferencing applications to facilitate live collaboration, creating significant workflow fragmentation. To improve Cacoo's competitive edge in real-time co-creation, we identified the need for a native video chat panel directly integrated into the editor workspace. Third-party video chats running alongside the canvas cluttered desktop space, disrupted cognitive focus, and degraded diagramming efficiency. Our goal was to architect a seamless, docked communication panel that enabled real-time, face-to-face interaction while maximizing canvas real estate and preserving core editing workflows.

BACKGROUND

To maintain a competitive edge and meet modern market standards for collaborative diagramming tools, Cacoo initiated a fundamental effort to support synchronous, real-time communication directly within the editor workspace. The primary strategic catalyst for this addition was the shift toward distributed engineering and product design teams who required seamless, real-time communication without toggling between disjointed apps. Before video chat could be successfully embedded into the main interface, the spatial constraints of the editor layout required extensive evaluation to prevent UI clutter and canvas compression.

PROCESS

  • Analyzed product usage metrics and remote team feedback regarding context-switching friction to identify why external video tools were disrupting active co-creation sessions.

  • Evaluated layout variations for the video panel, balancing sidebar docking against toolbar integration to keep the primary drawing canvas uncluttered and accessible.

  • Designed a lightweight huddle trigger and status bar, enabling one-click video session initiation directly within the active canvas header.

  • Integrated dynamic presenter-following controls within the panel to seamlessly synchronize team canvas viewpoints with the active speaker during live reviews.

  • Conducted usability testing to refine panel responsiveness, audio/video toggle states, and visual hierarchies during complex, multi-user editing tasks.

The surge in engagement directly boosted Weekly Active Users and reduced account churn across enterprise tiers. From a user experience standpoint, the side panel layout enabled seamless one-click huddles directly inside the workspace while eliminating window overlap.
